Lema is an internal enterprise tool designed to streamline how employees submit and manage expense and document requests. I led the redesign effort to replace outdated, manual processes with a digital-first experience that improves efficiency, transparency, across the organization.

As the sole designer, I led the entire process from research to visual design and design system, working closely with developers to ensure accurate implementation.

Impact

Over 75% of requests of all requests are now processed through Workflow, reducing manual effort, improving team efficiency, and replacing the need for expensive third party tools.

Challenge

Request submissions were mostly manual, written on official letterhead or sent by email. This made the process slow, expensive, and hard to track. The lack of structure created bottlenecks in approvals and reduced visibility for both requestors and approvers.

Solution

We created a modern web experience with a centralized dashboard, clear request flows, and structured approval paths. The redesign improved navigation, reduced processing time, and gave users better visibility into the status of their requests.

Understanding the people behind every request

I conducted targeted interviews with employees from Administration, Finance, and Technology department  to uncover real pain points and expectations. These personas reflect the key needs and behaviors that shaped the redesign.

Refreshed side navigation to manage requests

I simplified the navigation experience and improved productivity by ensuring the most essential actions were front and center, making it easier for employees to quickly access, track, and manage their requests.

Simplified & categorized expense types

Requests are now organized by type, allowing users to select the relevant category and fill out only the necessary fields. This reduces complexity, minimizes errors, and accelerates request submission with greater accuracy.

Add reviewers and approvers to requests

Users can assign reviewers and approvers based on department-specific processes and the individuals authorized to handle each request. This flexibility ensures the right stakeholders are involved at every step.

Review requests or return at a later time

Before creating a request, users can preview all entered details, make adjustments, ensure accuracy or save progress as a draft to complete it at a more convenient time. This step reduces errors, increases confidence, and improves the quality of submitted requests.

Role-based actions that are clearly defined

Depending on their role, users can take specific actions on each expense request such as reviewing, approving, rejecting, or commenting. This ensures accountability and simplifies decision making.
